CCTV and Security Policy

This CCTV and Security Policy (the “Policy”) applies to all persons who enter any Bay Owl Studios facility areas (the “Facility”), regardless of booking channel, including bayowl.studio, bayowlstudios.com, any booking platform (in-house or third-party), and all online/offline channels (phone, email, WhatsApp, social media, walk-ins, and direct messages).
This Policy works alongside (and should be read together with) our Terms of Use, Booking Terms and Studio Policies, Privacy Policy, Cookie Policy, Cancellation and Rescheduling Policy, Studio Rules and Safety Policy, Minors on Premises and Safeguarding Policy, Cleaning, Damage and Fines Policy, and Confidentiality and Non-Disclosure Agreement (NDA) Policy, each as updated from time to time.

1. Purpose of CCTV and security measures

1.1 Security and safety purposes

Bay Owl uses CCTV and other reasonable security measures for legitimate security and operational purposes, including:

  • protecting the safety of clients, guests, staff, and visitors;
  • preventing and investigating theft, damage, unauthorised access, and misconduct;
  • supporting access control and incident review; and
  • supporting compliance with Facility rules and safety requirements.
1.2 CCTV is not used for marketing

CCTV footage is not used for marketing or promotional purposes.

2. CCTV coverage (high-level)

2.1 Areas typically covered

CCTV may operate in and around parts of the Facility, which may include entrances/exits, corridors, common areas, and other operational areas where CCTV is reasonably required for security and safety.

2.2 No expectation of privacy in monitored areas

Where CCTV is in operation, individuals should not expect privacy in those monitored areas, to the extent permitted by law.

2.3 Sensitive areas

Bay Owl does not intend to place CCTV cameras in locations where individuals have a heightened expectation of privacy (for example, inside washrooms). If any such monitoring is required by law or building management for security reasons, Bay Owl will comply strictly with applicable legal requirements and will provide appropriate notices as required.

3. Notices and signage

Where CCTV is in operation, Bay Owl will take reasonable steps to provide notice through signage and/or other appropriate means, subject to operational constraints.

4. Access to CCTV footage

4.1 Restricted access

Access to CCTV footage is limited to authorised Bay Owl personnel and service providers (where applicable) who require access for security, safety, or operational reasons.

4.2 Confidential handling

CCTV footage is handled as confidential security information. It is not shared internally beyond those who reasonably need access, and it is not shared externally except as described in this Policy or where required/permitted by law.

5. Use and disclosure of CCTV footage

Bay Owl may review and use CCTV footage for the purposes set out in Section 1. Bay Owl may disclose CCTV footage where reasonably necessary, including:

  • to law enforcement or other governmental authorities where required by law or for investigation of suspected illegal activity;
  • to building security management or property management, where necessary for incident investigation, access control, or safety;
  • to insurers, legal advisers, or professional advisers in connection with a claim, dispute, or incident; and
  • to service providers who support CCTV systems, under appropriate confidentiality and security obligations.

 

6. Retention

Bay Owl retains CCTV footage for a limited period appropriate to the purposes in this Policy and in accordance with applicable law and operational requirements. Retention periods may vary depending on the nature of the system, storage capacity, and whether footage is required for an active investigation, claim, or legal process.

7. Security incidents and investigations

7.1 Incident review

Where Bay Owl reasonably believes there has been a security, safety, or policy incident (for example, damage, theft, misconduct, or a safeguarding concern), Bay Owl may review relevant footage to determine facts and responsibility.

7.2 Shared/common areas

Where multiple clients have used common areas, CCTV footage may be used to determine responsibility for specific incidents (for example, mess, damage, or prohibited behaviour) and to support enforcement of studio policies, including charges or fines where applicable and legally permissible.

 

8. Client requests for CCTV footage

8.1 No general right of release

For security reasons and to protect third-party privacy, Bay Owl does not provide CCTV footage on request as a general practice.

8.2 Lawful requests

Where a request is made through a lawful process (for example, a request from law enforcement, court order, or other legally valid request), Bay Owl will comply as required by law.

 

9. Data protection and privacy

Where CCTV footage constitutes personal data, it is processed for security and safety purposes and handled in accordance with our Privacy Policy. Bay Owl takes reasonable steps to secure CCTV systems and restrict access.
