Studio Rules and Safety Policy

This Studio Rules and Safety Policy (the “Policy”) applies to all visitors, clients, customers, artists, guests, attendees, contractors, and any other person entering any Bay Owl Studios facility areas (the “Facility”), regardless of booking channel, including bayowl.studio, bayowlstudios.com, any booking platform (in-house or third-party), and all online/offline channels (phone, email, WhatsApp, social media, walk-ins, and direct messages).

This Policy works alongside (and should be read together with) our Terms of Use, Booking Terms and Studio Policies, Privacy Policy, Cookie Policy, Cancellation and Rescheduling Policy, Minors on Premises and Safeguarding Policy, CCTV and Security Policy, Cleaning, Damage and Fines Policy, and Confidentiality and Non-Disclosure Agreement (NDA) Policy, each as updated from time to time.

1. Core principles

1.1 Professional working environment

Bay Owl Studios is a commercial audio facility. All persons on the premises must behave in a safe, respectful, and professional manner.

1.2 Compliance with staff instructions

You and your attendees must follow staff instructions at all times, including for safety, security, access, equipment handling, and facility operations.

1.3 Right to refuse entry or end a session

Bay Owl may refuse entry to any person, or pause/terminate a session, where necessary for safety, security, compliance, capacity, or operational reasons. Where a session is terminated due to breach of this Policy, no refund will apply and time will not be extended.

 

2. Access, identification, and security

2.1 Identity verification

Bay Owl may request government-issued photo identification from the booking Client and/or any attendee for security and compliance.

2.2 Guest list requirement

Details of each attendee/guest must be submitted in advance as requested by Bay Owl. Bay Owl may refuse entry to any person not on the submitted list.

2.3 Entry and movement within the Facility

Access is limited to the areas necessary for your session. You must not enter restricted, staff-only, or technical areas unless explicitly permitted by Bay Owl staff.

2.4 Personal belongings

You are responsible for your belongings. Bay Owl is not responsible for loss, theft, or damage to personal items to the maximum extent permitted by law.

 

3. Headcount and capacity

3.1 Maximum headcount per studio

Maximum headcount is 15 persons per studio unless expressly agreed in writing by Bay Owl in advance.

3.2 Exceeding headcount

If headcount exceeds the approved number for a Booking, Bay Owl may:

  • refuse entry to additional persons; and/or
  • apply an additional charge and pause the session until paid; and/or pause or terminate the session for safety/security reasons.
  • Any resulting loss of time will not be refunded or extended.

 

4. Conduct and prohibited behaviour


4.1 Respectful conduct

Harassment, discrimination, intimidation, bullying, or abusive behaviour towards staff or any other person is prohibited.

4.2 Unsafe behaviour

Any behaviour that creates a safety risk (including reckless movement around equipment, physical altercations, or refusal to follow safety instructions) is prohibited.

4.3 Intoxication and impairment

Persons who appear intoxicated or otherwise impaired may be refused entry or asked to leave. Where this impacts a Booking, the Booking will be treated as client-initiated and no refund will apply.

4.4 Illegal or harmful activity

Illegal, fraudulent, or harmful activity is prohibited. Bay Owl may involve law enforcement where appropriate.

 

5. Equipment handling, patching, and technical safety

5.1 Do not touch unless instructed

Do not move, rewire, patch, repatch, connect/disconnect, or alter any studio equipment, power connections, cabling, acoustic panels, racks, or furniture unless directed or approved by Bay Owl staff.

5.2 Power and electrical safety

Do not plug in or modify power connections without staff approval. Do not overload sockets, run unsafe extensions, or bring unapproved high-load equipment.

5.3 Liquids near equipment

Keep liquids away from consoles, racks, microphones, instruments, and power points. Bay Owl may require drinks to be kept in designated areas only.

5.4 Damage responsibility

You are responsible for any damage caused by you or your attendees beyond normal wear and tear. Repair/replacement costs, labour, and applicable downtime charges may be applied where legally permissible.

 

6. Recording, filming, and photography inside the Facility

6.1 Client filming and photography

Filming and photography by the Client or attendees is permitted only if it does not interfere with operations, safety, or other clients, and if it complies with any confidentiality obligations. Bay Owl may restrict filming in common areas or around other sessions.

6.2 Bay Owl marketing capture (non-CCTV)

Where Bay Owl captures behind-the-scenes content for marketing, Bay Owl will provide notice and obtain consents where required by law and in accordance with our Marketing Capture and Consent Policy. CCTV is not used for marketing.

7. Minors on premises (summary)

7.1 Booking restrictions

Only individuals aged 18 years or older may make bookings.

7.2 Minors allowed only under strict rules

Minors may attend only under the conditions set out in our Minors on Premises and Safeguarding Policy, including supervision requirements and documentation for unaccompanied minors. Bay Owl may deny entry if conditions are not met.

 

8. Smoking, vaping, and prohibited substances

8.1 Designated areas only

Smoking is permitted only in dedicated areas (if any are designated). Smoking or use of vapes/e-cigarettes elsewhere in the Facility is prohibited.

8.2 Fine

Smoking or vaping outside dedicated areas attracts a fine of ₹25,000 per infraction. Bay Owl may also terminate the session for repeated or serious breaches.

8.3 Prohibited substances

Illegal drugs and controlled substances are prohibited on the premises.

 

9. Cleanliness and hygiene

9.1 Leave the space as found

You are expected to keep the booked studio and common areas reasonably clean and tidy.

9.2 Cleaning charges

If any area of the Facility is made a mess by the booking person or any attendees/guests (including washrooms), cleaning charges may apply in accordance with our Cleaning, Damage and Fines Policy.

 

10. Timing, arrivals, and wrap

10.1 Session timing

Your session runs strictly for the time booked. Late arrivals do not extend the end time.

10.2 Wrap and exit

You must vacate the booked studio space by the scheduled end time, including wrap and clearing personal items.

 

11. Enforcement

11.1 Non-compliance

Bay Owl may pause or terminate a session, refuse entry, or require a person to leave for breach of this Policy.

11.2 No refund

Where a session is paused or terminated due to breach, no refund applies and time is not extended.
