Visitor and Facility Access Policy
This Visitor and Facility Access Policy (the “Policy”) applies to all persons who enter any Bay Owl Studios facility areas (the “Facility”), whether as a booking Client, attendee, guest, artist, educator, contractor, courier, or visitor, regardless of booking channel, including bayowl.studio, bayowlstudios.com, any booking platform (in-house or third-party), and all online/offline channels (phone, email, WhatsApp, social media, walk-ins, and direct messages).
This Policy works alongside (and should be read together with) our Terms of Use, Booking Terms and Studio Policies, Privacy Policy, Cookie Policy, Cancellation and Rescheduling Policy, Studio Rules and Safety Policy, Minors on Premises and Safeguarding Policy, CCTV and Security Policy, Cleaning, Damage and Fines Policy, Marketing Capture and Consent Policy, Confidentiality and Non-Disclosure Agreement (NDA) Policy, and Deliverables and File Handling Policy, each as updated from time to time.
1. Access is by approval only
1.1 Sessions are access-controlled
Entry to the Facility is permitted only for confirmed bookings, scheduled visits, authorised deliveries, or by prior approval from Bay Owl.
1.2 No unauthorised entry
You must not tailgate, bypass security, or attempt to access staff-only or restricted areas.
2. Check-in, identity verification, and security screening
2.1 Identity verification
Bay Owl may require government-issued photo identification from the booking Client and/or any attendee for security and compliance.
2.2 Security screening and checks
Bay Owl may carry out reasonable security checks, including checking bags or cases where staff reasonably believe it is necessary for safety, security, or to protect equipment.
2.3 Refusal of entry
Bay Owl may refuse entry to any person where identity cannot be verified, where a person is not authorised for that booking/visit, or where staff reasonably believe entry would create a safety, security, compliance, or operational risk.
3. Guest lists and attendance control
3.1 Guest list requirement
For security reasons, details of each attendee/guest must be submitted in advance as requested by Bay Owl. Bay Owl may refuse entry to any person not on the submitted list.
3.2 Maximum headcount
Maximum headcount is 15 persons per studio unless expressly agreed in writing by Bay Owl in advance.
3.3 Visitors not tied to the session
Unrelated visitors are not permitted inside the Facility unless approved in writing in advance.
4. Timing, arrival windows, and waiting
4.1 Arrival time
Arrive at the time instructed by Bay Owl. Early arrivals may not be permitted entry if the studio or common areas are occupied or if it disrupts operations.
4.2 No waiting area
Bay Owl does not operate a waiting lounge or childcare area. Anyone accompanying a Client must remain inside the booked studio space for the full duration (subject to headcount limits). Loitering in corridors/common areas is not permitted.
4.3 Late arrivals
Late arrivals do not extend the booked end time. This is also covered in the Cancellation and Rescheduling Policy and Terms.
5. Minors
5.1 Booking restriction
Only individuals aged 18 years or older may make a booking.
5.2 Minor entry rules
Minors may enter the Facility only under the strict conditions in the Minors on Premises and Safeguarding Policy (including supervision requirements, documentation for unaccompanied minors, and the 5:1 supervision ratio).
6. Movement within the Facility
6.1 Restricted areas
Staff-only, technical, storage, machine/electrical, and back-of-house areas are restricted. Access is permitted only with staff authorisation and supervision.
6.2 Noise and corridor conduct
Please keep noise low in corridors/common areas. Running, shouting, or disruptive behaviour is prohibited.
6.3 Neighbour and building compliance
You must comply with building rules and reasonable requests from Bay Owl relating to noise, entry/exit, lift use, and safety.
7. Deliveries, couriers, and third-party vendors
7.1 Client deliveries
If you plan to have items delivered (instruments, equipment, food, or other supplies), you must inform Bay Owl in advance. Bay Owl may refuse deliveries that disrupt operations or create safety/security risks.
7.2 No responsibility for third-party deliveries
Bay Owl is not responsible for late, lost, or mishandled third-party deliveries.
7.3 External vendors and crew
External crew (videographers, assistants, techs) must be declared in advance, included in the guest list, and remain within headcount limits unless expressly agreed in writing.
8. Parking, access logistics, and loading
8.1 Parking
Where parking is available, it may be limited and subject to building rules. Bay Owl does not guarantee parking availability unless expressly agreed in writing.
8.2 Loading/unloading
Loading/unloading must be done safely and without obstructing common areas or access paths. Follow staff instructions for moving equipment.
9. Prohibited items and safety controls
9.1 Prohibited activity and items
Illegal substances, weapons, or any item that creates a safety risk are prohibited. Bay Owl may refuse entry and/or involve authorities where appropriate.
9.2 Electrical safety
Do not bring or connect high-load electrical equipment without prior approval. Do not alter power connections.
10. Personal belongings and lost property
10.1 Personal responsibility
You are responsible for your personal belongings. Bay Owl is not responsible for loss, theft, or damage to personal items to the maximum extent permitted by law.
10.2 Lost property
If Bay Owl finds lost property, we may hold it for a limited period. Unclaimed items may be disposed of after that period. Bay Owl does not guarantee retention.
11. Photography/filming in common areas
To protect other clients and privacy, filming/photography in corridors/common areas may be restricted. Any confidentiality obligations must be notified and agreed before booking (see the Confidentiality and NDA Policy).
12. Enforcement
Bay Owl may pause or terminate access, refuse entry, or require any person to leave for breach of this Policy or any other Bay Owl policy. Where a session is impacted due to breach, no refund applies and time will not be extended.
